Rental Property Costs Beyond the Mortgage
Build a more complete operating budget before deciding whether an investment property fits your plans.
A rent estimate minus a mortgage payment is not a complete rental-property budget. The difference still needs to cover expenses, interruptions, and work that does not arrive on a predictable monthly schedule. A useful worksheet makes those assumptions visible.
Separate operating costs and financing
Separate the categories. Start with expected rent, then list operating costs such as taxes, insurance, association dues, management, maintenance, and owner-paid services. Track loan payments separately so you can see how financing affects the cash remaining. Include acquisition costs and initial repairs in the cash needed to get started.
Allow for vacancy and downtime
Plan for the gaps. A property may have time between tenants, collection issues, or work that delays occupancy. Model an allowance for vacancy and use assumptions supported by the property and market research. Do not treat a full year of rent as certain simply because a property is advertised for lease.
Plan for larger replacements
Make room for larger replacements. Routine maintenance and a major replacement are different budget items. Review the condition of the roof, heating and cooling equipment, and other significant components with qualified professionals. Use estimates rather than a generic allowance when reliable information is available.
Avoid double-counting expenses
Avoid counting a cost twice. If your loan payment includes an escrow amount for taxes and insurance, separate those components before adding them elsewhere in the worksheet. Consistent categories make comparisons more useful.
Compare more than one scenario
Compare a base case with a cautious case. Change rent, vacancy, repairs, or expenses and note how much cash the property would require. Do not rely on appreciation to cover an operating shortfall.
Review the assumptions with your advisers
Bring the worksheet to your lender, tax adviser, and property manager as appropriate. Ahmad can help with the property comparison, while those professionals can address the assumptions within their areas of expertise. No worksheet can guarantee an investment outcome.
